DadsFam Invoice Manager

v3.0.0 · by dadsfam

Invoices and quotes for WooCommerce: make them from orders or by hand, see who has paid at a glance, and send them with secure links.

About this plugin

DadsFam Invoice Manager does the invoice side of a WooCommerce shop properly. Make an invoice from any order in one click, or type one out by hand. Send quotes your clients can accept online. See who has paid and who still owes you the moment you open it. Your customers download their invoices from their own account.

It is free. Not free-until-you-need-the-good-bit. Free.

Version 3.0 is a complete rebuild of every screen, made so that anybody can use it without a manual.

Open it and you know where you stand

  • Home answers the question you actually have — is everyone paid? — with the amount still owed, what is overdue, and one button to the ones to chase first
  • A short setup list gets your invoices looking right in about two minutes
  • The latest invoices and quotes, whichever way they were made
  • “If something goes wrong” — the things people most often get stuck on, each with its fix

Invoices, every way you need them

  • From any WooCommerce order — pick the order, press the button, get a branded PDF with every item, option, discount, shipping line, fee, tax and refund exactly as charged
  • Made by hand — type it out line by line and watch the invoice build itself as you go
  • Upload a PDF you made somewhere else, and it works like any other
  • All invoices in one place: search, filter by paid or unpaid, change a status, send it again or download it, straight from the list
  • Orders with no invoice — the orders that slipped through, each one a click away from its invoice
  • Your logo, colours, business details, VAT number and banking details on every page
  • Your own numbering — prefix, year, padding — and a number is never handed out twice
  • Accents, curly quotes, dashes and the € sign print properly

Quotes that turn into invoices

  • Build a quote the same way you build an invoice
  • Email it straight to the client — they accept or decline online, and you are told either way
  • Quotes expire on their own after however many days you choose
  • One tap turns an accepted quote into an invoice, with everything carried across

Getting paid

  • Paid, Unpaid, Overdue and Cancelled, changed from the list in one click
  • Optional: unpaid invoices turn Overdue by themselves the day after they were due
  • Invoice emails in your own words and colours, from WooCommerce’s sender or your own name and address
  • Download links that are signed and expire when you say
  • Customers see their invoices in My Account, with filters and an “Email me a copy” button

Safe

  • Invoices kept in a private folder nobody can browse to (or the Media Library, if you prefer)
  • Your business details and numbering are backed up automatically, and put back if anything ever wipes them
  • Deleting the plugin keeps your invoices and settings unless you choose otherwise
  • Optional: a copy of every invoice and quote in Google Drive or OneDrive, sorted by year

Works with

  • WooCommerce High Performance Order Storage (HPOS) and classic order storage
  • Block and classic themes
  • AI assistants: invoices, quotes and settings can be read and run through the WordPress Abilities API (WordPress 6.9+), for example from Claude through an MCP plugin. Admin-only.

External services

This plugin contacts an outside service only if you switch on Cloud Backup and connect a drive. Nothing is contacted otherwise, and nothing is contacted on a front-end page view under any circumstances. Both providers are off until you connect one.

connect.dadsfam.co.za — used only while connecting a cloud drive, and afterwards to renew the connection. Connecting a drive sends the provider name (gdrive or onedrive) and the one-time claim code the provider issued, and receives a refresh token in return. Renewing sends the provider name and that refresh token, and receives a short-lived access token. Nothing about an invoice, a customer or an order is sent. This broker exists so the site never has to hold a Google or Microsoft client secret. Terms: https://dadsfam.co.za/terms/ — Privacy policy: https://dadsfam.co.za/privacy-policy/

Google Drive (www.googleapis.com) — used only if you connect a Google Drive account. Invoice PDF files are uploaded to the folder you choose, and can be listed and deleted again from the Cloud backup screen. The plugin also asks once for the account’s name and email address, so the screen can show which account is connected. What is sent: the access token, the invoice PDF and its file name. Terms: https://policies.google.com/terms — Privacy policy: https://policies.google.com/privacy

Microsoft OneDrive (graph.microsoft.com) — used only if you connect a OneDrive account, and works the same way: invoice PDFs are uploaded, listed and deleted, and the account’s name and email address are read once so the screen can show which account is connected. What is sent: the access token, the invoice PDF and its file name. Terms: https://www.microsoft.com/servicesagreement — Privacy statement: https://privacy.microsoft.com/privacystatement

A word about PRO

Right, let me be straight with you, because I hate being sold to as much as you do.

Everything above is free and it stays free. Making invoices is not a premium feature. Putting your own logo and banking details on them is not a premium feature. Those are the things a plugin like this should just do, and if I put them behind a paywall I would be taking the mickey.

There is a PRO add-on. It exists because I am a dad in Cape Town, and this is one of the things that puts food on the table at my house. That is the honest reason. Not “unlock your potential”, not “supercharge your workflow”. Just: if this plugin saved you a headache and you can spare it, PRO helps me keep building.

There is one PRO version and one price: R500 once off, roughly $35, per plugin. It is not a subscription, there is no yearly renewal, and it does not expire. Pay once and it stays yours, updates included. If the free version does everything you need, use that and think nothing of it — it is not crippled to push you across, and it never will be.

What PRO adds is the stuff you only want once you are doing real volume. That is convenience and automation. It is not the plugin working properly, because the plugin already works properly.

PRO adds:

  • Invoices that make and email themselves when an order reaches the status you choose
  • PDFs that re-stamp PAID when payment lands, or when you change a status
  • Polite payment reminders for invoices that are really late — never to anyone who has paid
  • Bulk upload — a whole ZIP of PDF invoices onto their orders in one go, checked before anything happens
  • An activity log of everything that happened and who did it, ready to export for your bookkeeper

So if the free one does everything you need, brilliant. Genuinely. Use it, and I hope it saves you an afternoon. If you get to the point where the automation would save you real time, PRO is at plugins.dadsfam.co.za.

Either way, thanks for using something I built. — Zak, DadsFam
